We used to store every document and item of paper in files – not all of it relevant – and much of it was not used because of difficulties in storing and then locating information when required. It could take an age to find information that was required – vehicle servicing records, MoT certificates etc. Today we do not have a paper store as every document is scanned into Key2. We have all information in one place providing a comprehensive and easily accessible individual vehicle and driver record, which improves administration and enables fleet forecasting that in turn ensures compliance and improves operational efficiencies. Efficient Licence Checking
Driver licence validation via Licence2Check enables Speedy Hire to quickly and efficiently monitor individual employee’s entitlement to drive and how many points they have on their licence.
We use driver licence information as the basis for disciplinary action if an employee does not have the correct entitlement to drive. If they have a number of points on their licence, then we would act on that information and deliver a targeted training programme.

Compliance is Critical
Speedy Hire have won a number of fleet industry awards notably for its safety initiatives.
Compliance with all legislation and operating best practice is critical for Speedy Hire. It is vital that we are able to demonstrate to our customers that the fleet is as safe and compliant as is possible. Key2 helps achieve that objective because all data is stored in one location, is easy to access and provides a detailed audit trail.

Therefore, selecting data against five or six different criteria that we decide is much easier.
It is essential that all vehicles are serviced on schedule and undergo MoTs. However, we can use the information to help shape our vehicle de-fleet strategies which potentially delivers savings as we may be able to dispose of vehicles prior to an imminent service or MoT requirement. As a result, we are meeting our compliance obligations and also using information to tightly manage expenditure.

The ability to record ‘live’ vehicle mileages enables Speedy Hire to better predict defleet mileages. As a result, high mileage vehicles can be relocated and swapped with vehicles that historically clock up less distances.
Cost Management
Jaama’s programme of continuous development and system enhancement means that if a module that is created helps Speedy Hire as a business then it will look at its implementation.
Cost management is crucial to Speedy Hire so being able to benefit from system enhancement inclusive in the annual fee is a major benefit as it helps with budgeting. Speedy Hires aim is to operate at the forefront of fleet best practice and be as compliant as possible.
