Jaama’s multi-award-winning, industry-leading Key2 software system is the ‘showroom’ that enables JCT600 Vehicle Leasing Solutions to deliver a high-quality service to its expanding customer base.
The Bradford-headquartered contract hire and leasing company, operates independently from the JCT600 Group, one of the UK’s largest motor groups but benefits from its full support and backing, manages 7,000 vehicles for a variety of clients with fleets ranging from five to 700 company cars and vans.
JCT600 Vehicle Leasing Solutions introduced Key2 in 2012 and systems director Brian Kirby said Key2 had revolutionised the business and the service provided to customers putting an end to numerous administratively burdensome manual tasks including driver and broker quote generation, quote generation (where customers had specific manufacturer support terms in place), driver licence validation and report writing. Mr Kirby said: “Our vision is the paperless office and we are chipping away all the time. Key2 is the power behind JCT600 Vehicle Leasing Solutions. It is our showroom and enables the company to deliver a great service on time.
Major recent initiatives include:
  • Introduction within Key2 of a module that embraces the Driver and Vehicle Licensing Agency’s V5C on Demand service following the digitalisation of vehicle registration certificates.
  • Integration to the Ebbon Dacs Leaselink e-procurement platform used by franchise dealers and motor manufacturers to improve vehicle acquisition and order status reporting.
  • Document management, which stores digital copies of all business documentation, for example in relation to funding arrangements, customer requirements and manufacturers, in an intelligent and easily accessible way.
  • Visual improvements to customer dashboards – JCT600 Vehicle Leasing Solutions calls its ‘Fleet Controller’ – which gives customers direct online access to a suite of reports which provide a real-time comprehensive overview of their own fleets.
  • An enhanced web quote system that delivers increased flexibility and enables field-based sales staff to generate quotes via a mobile device as well as a PC or laptop.
Additionally, Mr Kirby highlighted a range of smaller enhancements that he deemed ‘nice to have’, but further maximised the use of Key2 and its industry-leading functionality. They include improved manufacturer support management, automation of reporting via File Transfer Protocol and automated write-back to the database from reporting.
Meanwhile, future developments include new ‘auto quote’ functionality that enables drivers and brokers to generate their own quotes via an enhanced ‘retail friendly’ module accessible via all web-enabled platforms.
Additionally, the May 2018 introduction of the General Data Protection Regulation (GDPR) will have a significant impact on fleet operations, notably in terms of data protection and driver privacy. Consequently, Jaama is working with its customers to ensure Key2 proactively automates and sets data retention periods once customer/driver agreements have been obtained.
Mr Kirby said: “We are continually working on maximising Key2 to generate efficiencies for JCT600 Vehicle Leasing Solutions and that in turn is delivering service enhancements to customers. Having introduced Key2 five years ago we are light years from where we were. Key2 is so flexible and future-proof that we are delivering a level of service and seamless real-world data reporting that is industry-leading.
“Our customers want data provided to them and, in many cases, don’t want to have to drill down and find that information themselves. As a result, Key2 has revolutionised fleet management reporting for clients as well as driver services.
“Businesses appreciate a good service and we can offer service excellence because we have a robust software system. But we have yet to maximise all functionality and there is much that we are working on and will introduce that will keep JCT600 Vehicle Leasing Solutions at the leading-edge of the contract hire industry.”
Jaama managing director Martin Evans said: “Our commitment to Key2 users is to ensure the software is always at the cutting edge of fleet management. Our leasing sector customers, such as JCT600 Vehicle Leasing Solutions, acknowledge that Key2 and their partnership with Jaama ensures that ongoing system developments is critical to their long-term business success.”
