The introduction of a sophisticated new customer dashboard by vehicle leasing specialist JCT600 Contracts using Jaama’s multi award-winning Key2 software is revolutionising fleet management reporting for clients.

The West Yorkshire-based company has introduced Jaama’s customer dashboard to give customers direct online access to a suite of reports which provide a real-time comprehensive overview of their own fleets. JCT600 Contracts, which operates almost 7,000 vehicles, has branded its customer dashboard ‘Fleet Controller’. The company implemented Key2 to manage its entire fleet and leasing operation last year and has now introduced ‘Fleet Controller’ – replacing a legacy system developed in house. Brian Kirby, systems director, JCT600 Contracts, said: “Previously our fleet customers had to request reports and the information was not ‘live’ and not in such detail as now. “Introduction of ‘Fleet Controller’ enables customers to obtain reports on every issue relating to vehicles and drivers.

From service, maintenance and repair details to over due invoices and driver licence checks to when MoTs are due – it is all encompassing.” Additionally, JCT600 Contracts is introducing an ‘actions menu’ within ‘Fleet Controller’ that will enable customers to undertake ‘live’ vehicle reallocations and updates to driver details. Mr Kirby said: “Introduction of ‘Fleet Controller’ ensures administrative efficiency will be significantly improved as previously customers’ information had to be requested as a change to JCT600.” The company is also introducing Optical Character Recognition (OCR) Scanning, which Jaama has also recently added to Key. OCR enables almost any document to be scanned into any Key2 record with users able to create their own files into which they are automatically stored for future reference. It means that documents can be identified and stored by reference, for example, to vehicle registration number, vehicle type, driver, contract number, accident reference number etc. or a combination.

Typically documents that require scanning and subsequent storage are: MoT certificates, vehicle service receipts and related information, V5 registration forms, vehicle warranty information, vehicle lease and maintenance contracts, accident-related documents, a wide variety of vehicle-related invoices and a raft of other documents relating to vehicles, drivers and insurance. Mr Kirby said: “All images will be accessible for our customers to view via ‘Fleet Controller’.

We will also be making images available in relation to vehicle damage.” He added: “Our back office introduction of Key2 last year coupled with our more recent introduction of ‘Fleet Controller’ puts JCT600 streets ahead of where we were in terms of functionality.” But, the company is also conscious that despite the introduction of a “fantastic portal” some fleet decision-makers still want to receive reminders to analyse reports and take action. Mr Kirby explained: “That is why we have also introduced report scheduling so that customers can request reports to be emailed to them at a time and frequency that suits them.”
